Introduction/Goals:
Cvent's participation at IMEX Frankfurt was a resounding success, as we set out to showcase our cutting-edge technology and brand at the largest industry event in Europe. With over 11,000 global suppliers and event professionals in attendance, our goals and objectives were ambitious, aiming to launch new features, generate business, foster relationships, provide thought leadership, and offer hands-on experiences with our innovative solutions.
Development:
To create a significant impact, we transformed our regular booth into a double-decker booth, effectively utilizing our 65sqm of space. We employed an anamorphic (3D) wall instead of a traditional LED wall for branding, capturing the attention of attendees. We produced an engaging video that simplified our offerings.
Our tech tours provided attendees with hands-on experiences of our solutions. Using interactive push table technology, we explained our offerings in an easy-to-digest format. Attendees then had the opportunity to check-in using our iPad-based solution and print badges, further showcasing the capabilities of our technology. The tech tours attracted over 100 participants, ensuring a high level of engagement.
To maximize our reach, we invited Carina Bauer, IMEX CEO, as a guest for our podcast which helped us extend our post-event reach.
Trade and service partnerships played a vital role in our success. We partnered with IMEX and Ovation DMC, offering our technology in exchange for sponsorship at the IMEX Gala dinner and Ovation DMC's networking event. We set up a ticket collection kiosk, increasing booth footfall as gala dinner attendees collected their tickets. This collaboration provided mutual benefits and expanded our visibility.
Our top-notch clients had a remarkable experience through their participation in the IMEX hosted buyer program. We had the opportunity to recruit 15 top clients who were sponsored by IMEX, allowing them to attend IMEX Frankfurt and witness our latest features.
Other achievements included group presentations that combined sales pitches and thought leadership sessions, attracting 300+ attendees. We also hosted an educational session and mentorship program for future event planners from Worms University in Germany. We secured 11 meetings with tier- 1 media houses, culminating in a successful press conference where we unveiled our new AI writing assistant feature and announced Cvent's top hotel/destination list.
Outcome:
Cvent's participation at IMEX Frankfurt proved to be a game-changer, marking our most successful industry event to date. We achieved impressive results, including 850 pre-event appointments and 1000+ visits to our booth. Our social media impressions exceeded 66,000, and our involvement and announcements at IMEX were featured in 36 news pieces by PR and media outlets.
Notably, we accomplished these outcomes while reducing costs by 10% compared to the previous year's regular booth. This was made possible by leveraging a forward-thinking start-up booth construction vendor and engaging in trade and service deals with IMEX and Ovation DMC.
