    WHAT WE DO & PURPOSE

    The Bid Coordinator is a leader in bid and tender strategy, design and writing for the Australian construction industry. Specializing in government tenders, we have a 70% submission win rate. Our work gives construction companies and builders a fair opportunity to grow their business, win bigger projects and access new markets by winning tenders for projects worth $2.5 million to $2.7 billion. This enables many clients to achieve a 50% higher success rate than the industry standard, securing more than $96M for clients since inception.

    We craft tenders that are readable, compliant, persuasive and most importantly, get results. What makes us different is our depth of experience in construction, our enviable track record and our holistic approach; handling every part of the bid and tender coordination process end-to-end, from strategy, to writing, to design.

    We develop tailored EOI and RFT strategies, and bring them to life through a highly compelling and visually stunning tender document which communicates value like never before, and genuinely stands out.

    HISTORY & OPERATIONS

    The Bid Coordinator was launched in 2018 by former construction project manager, Kylie Dixon, who felt that bid coordination was key to construction but underutilized.

    Since 1 January 2021 we’ve scaled, optimized our offering and delivered efficiencies which have paved the way for ongoing growth. Achievements include:

    • 70% government tender and EOI submission win rate, 50% higher success rate than the industry standard

    • Worked with many of Australia’s leading Tier 1, 2 and 3 construction companies and built a portfolio of small and medium builders where we can add incredible value

    • Worked with 50 clients on 85 projects

    • Growth in headcount including employing an in-house Bid Manager which has been a crucial growth hire

    • Leveraged technology and introduced new systems including ClickUp for project management, Microsoft Teams for communication and Filestage for marking up pdfs which has shifted many manual processes online, saving time and improving collaboration

    • Refined the quoting process to improve transparency, reduce the need to request more budget during the project, and prevent overservicing

    • Introduced a post tender review analysis to assess the time spent on the project, project profitability, what worked well and what didn’t work as well

    • Increase in repeat clients with most clients returning on average around 4-5 times. This year over half of our projects have been from returning clients

    • Developing a training product for Bid Coordinators to fill a gap in the market and as a alternative revenue stream

    CONSTRUCTION SPECIFIC OFFERING

    Most of our competitors provide a generalist approach to all industries (IT, health, construction etc). There are only a limited number of companies who specialize in assisting tier 2 and 3 builders with construction specific strategic advice. As such, we remain in demand and primed for growth.

    MARKETING

    Being a niche service, we have constantly adjusted our marketing/advertising as the company grows, from developing key avatars and studying the customer journey, and client satisfaction surveys. We’re now focused on continuing to share our knowledge by speaking at events, presenting with industry leaders such as Estimate One, and leveraging our satisfied repeat clients to fast track our growth.

    FUTURE

    Since launch we’ve navigated several economic volatility challenges including the pandemic, lockdowns and industry shutdowns. We’ve scaled up, scaled down, and found innovative ways to be more efficient and productive. By developing our business skills we’ve increased project profitability to 35%, our average price of services increasing from [REDACTED FOR PUBLICATION]. During this time, we’ve greatly improved the quality of outcome for our clients. We’re now in a very favorable position for significant growth.
